May 2012 Update for Software Assurance

Updates made available during the previous six months cover a variety of modules within the axis diplomat system, including

Nominal Ledger

Draft Accounts

The Draft Accounts  have been modified to allow exclusion of accounts with zero balances or exclusion of entire groups where all balances are zero. In many cases, this can substantially reduce the length of the Draft Accounts report and improve its readability.

Historical VAT Report

A new Historical VAT Report has been added, which can produce a VAT report for a previous period or year (subject to the transactions being available - usually the current year and the two previous years). This is ideal for dealing with queries (such as from HMRC) without needing to go back to year-end backups or archived records.

This report can be found in Nominal Ledger > Nominal Ledger Reports > Historical Reports.

Sales Ledger

Sales Ledger Payments

Sales Ledger Payments have been extended to allow a new payment type of "Electronic Fund Transfer". Previously, these would need to have classified as Cheque payments so this development adds clarity.

New status codes have been added for both Cheque and EFT payment types to show whether, for example, a cheque has not been received, has been received but not cleared, etc.

Document Delivery of Credit Notes

Document Delivery has been extended to include support for delivery of credit notes. When running Print Credit Notes, any customers configured to receive invoices by email (or fax) will now receive credit notes in the same way (to the same contact that is used for invoices).

Other Sales Ledger Enhancements

The Customer Enquiry and Customer Account Maintenance functions have been modified to include a SmartLink on the General Details tab to provide quick access to the full information on the main contact.

The functions to produce Customer Mailing Labels have been modified to optionally print labels in short name order  instead of in account number order. These can be found on the Sales Ledger > Sales Ledger Label Printing menu.

The Credit Control Monitor has been modified to optionally perform the same  auto-allocation process that the Debtors Schedule can do - offering the options to assume that cash and credit balances will be allocated to the oldest debts, the newest debts or the debts that originate in the same period as the cash/credit.

CRM & Campaign Management

Campaign Call Attachments

For customers with Campaign Management, telesales calls generated from campaigns calls can now have attachments in the same way that other calls can.

Other CRM & Campaign Management Enhancements

Monitors with Calls-related tabs now operate much faster when filtering by Call Category.

Sending Call Shortcuts has been improved by defaulting the recipient to the operator whose responsibility the call is (if it is not the person sending the shortcut). This saves time by ensuring that, in most cases, the Send dialogue is correctly pre-filled and only needs changing if you are sending a shortcut to someone else for their information.

The Membership List tab in Campaign Maintenance now includes columns to show the account Short Name column and to indicate whether emailshots are allowed.

Gap Analysis

Gap Analysis by Date Account Opened

The Gap Analysis function has been extended to include added selection of the Date Account Opened range. This allows you to generate a Gap Analysis report (or Campaign if you are also using Campaign Management) for all those customers that, for example, were a new customer last year that have not purchased this year.

Stock Ledger

Stock Search for Resaleable Items

Stock searches (through Stock Enquiry and Stock Record Maintenance) have been modified to optionally only include resaleable items.

Stock Control Monitor Enhancements

A number of enhancements have been done to the Stock Monitor introduced in the previous Software Assurance release:

Warehousing

Warehousing and Despatch & Delivery Management Enhancements

Customers using Multiple Bins (otherwise known as Bins on Stock Transactions, BOST) can now go straight into the Goods Received function from the Purchase Order Monitor.

The Delivery Monitor has been  modified to add columns for currency and goods value.

Kernel

Easier Creation of Copy Systems

It is now much easier to create a copy system without needing to know where the backups are stored - you can now simply go into the Backup Enquiry function, right-click on the backup that you want to use as the copy system and select the "Restore To Copy" option.
